• ○ Preside at all meetings of the National Board, 

    ○ Be available at meetings of the Conference Site Committee, as needed;

    ○ Implement the policies and procedures of the organization;

    ○ Represent the organization in all matters, but is to take no position which is contrary to these bylaws;

    ○ Sign all contracts approved by the National Board;

    ○ In consultation with the National Board, appoint staff and volunteer positions

    ○ In consultation with the National Board, appoint ad hoc committees

    ○ Request General, Special, National Board, and Conference Coordinating Committee meetings

    ○ Retain General Counsel, as needed

    ○ Use official AJAAS secure email account, ajaas.national@gmail.com, to keep a record of official AJAAS correspondence

    ○ Prepare or cause to be prepared all written, or typed or printed matter about and on behalf of the organization

    ○ Assume the office of Ex-Officio after the Co-Chair term expires

    ○ Commit to serving for six years (two years as Co-Chairs Elect, two years as Co-Chairs, and two years as Co-Chairs Ex-Officios)

  • ○ Support and work in collaboration with the Co-Chairs in the implementation of the policies and procedures of the organization;

    ○ Assume the duties of the Co-Chairs, in the absence of the Co-Chairs;

    ○ Serve on and lead the Jotería Newsletter committee;

    ○ Call a meeting of the National Board to determine whether the Co-Chairs are unwilling or unable to perform the duties of the Co-Chairs; such a meeting must be called in writing with no less than five (5) days notice, and only when the Co-Chair-Elects have a good cause to believe that the Co-Chairs are unable or unwilling to perform the duties of the Co-Chair;

    ○ Assume the duties of Co-Chairs if so directed by the National Board;

    ○ Assume the office of Co-Chairs when the Co-Chairs’ term expires.

  • ○ In collaboration with the co-chairs, regularly review, report, and reconcile financial documents and statements for the organization;

    ○ In collaboration with the fiscal sponsor, Esperanza Peace and Justice Center, respond to inquiries or recommendations on all routine and non-routine financial matters;

    ○ Sign all checks issued by the organization;

    ○ Collect all monies due to the organization and advise the National Board of the monies received from members and all other sources;

    ○ Seek funding opportunities and coordinate development efforts alongside the Resource Mobilizer;

    ○ Submit quarterly and biannual budget reports; 

    ○ Serve as liaison between the National Board and the fiscal sponsor;

    ○ Review any items or requests with financial implications that are made to the  National Board and/or Conference Coordinating Committee;

    ○ In the absence of Co-Chairs, Co-Chair-Elects, the Co-Chair Ex-Officios, the treasurer will facilitate meetings.

  • ○ Oversee the membership dues structure and process

    ○ Conduct annual membership drives to increase membership in the organization 

    ○ In collaboration with the National Board, Web Queerstorian, and Outreach/Communication/Social Media Coordinator, be responsible for making recommendations on the uses and functionality of the listservs and email lists, and other social media;

    ○ Be responsible for maintaining moderation of public and members listservs

    ○ Work in consultation with the Web Queerstorian to create and maintain the content of the AJAAS website’s membership section;

    ○ Work in consultation with the treasurer to keep track of individuals who have paid general membership dues.

  • ○ Communicate frequently with AJAAS members who identify as artists, and convey the needs of this constituency to the National Board;

    ○ In collaboration with the Activism Liaison and Scholarship Liaison, maintain and curate the “Spotlight” section of the website, assuring that the work of our members is adequately represented;

    ○ Consult with the editors of the Joteria Newsletter(Co-Chair elect) and write short articles about Joteria Artists and their work. 

    ○ Support the national conference in an assigned co-chair role for Noche de Jotería as part of the conference planning committee. 

    ○ Coordinate a minimum of 2 events related to each year (e.g., artist showcase, panel, workshop, etc.).

  • ○ Communicate frequently with AJAAS members who identify as activists, and convey the needs of this constituency to the National Board;

    ○ In collaboration with the Art Liaison and Scholarship Liaison, maintain and curate the “Spotlight” section of the website, assuring that the work of our members is adequately represented;

    ○ Consult with the editors of the Joteria Newsletter (Co-Chair elect) and write short articles about Joteria Activism.

    ○ Develop and execute events or programs throughout the year that relate to Jotería activism, in consultation with the National Board.

    ○ Support the national conference in an assigned co-chair role as part of the conference planning committees.

    ○ Coordinate a minimum of 2 events that relate to activism during each year (e.g., teach-in, speaker series, movie screening, etc.).

  • ○ Communicate frequently with AJAAS members who identify as scholars, and convey the needs of this constituency to the National Board;

    ○ In collaboration with the Art Liaison and Activism Liaison, maintain and curate the “Spotlight” section of the website, assuring that the work of our members is adequately represented;

    ○ Consult with the editors of the Jotería Newsletter (Co-Chair elect) and write short articles about Jotería Scholarship.

    ○ Support the national conference in an assigned co-chair role as part of the conference planning committee

    ○ Coordinate a minimum of 2 events that relate to scholarship and research during each year (e.g., teach-in, speaker series, workshop, etc.).

  • ○ Function as a bridge between the board and the conference committee, maintaining clear and open lines of communication.

    ○ Be in charge of ensuring the site committee has necessary resources including the conference handbook and guidelines. Will update the handbook as needed.

  • ○ Be responsible for overseeing all communication via AJAAS social media platforms;

    ○ Be responsible for creating social media flyers and images to communicate AJAAS events, programs, national conferences, highlights, etc.;

    ○ Be responsible for doing outreach for the organization including to media outlets, in consultation with the National Board.

  • ○ Maintain and update the organization’s website; and work with other national board members to highlight art, activism, scholarship, membership, and conference-related information on the organization’s website

    ○ Document all events including conferences, meetings, symposiums, and special events, through the use of cameras, and other audio, and visual recording devices.

    ○ Work with the archivist to maintain the institutional memory of the organization.

    ○ Be responsible, with the help of the co-chairs, for the maintenance of AJAAS’ institutional memory.

    ○ Edit photos, graphics, and website to create a cohesive AJAAS identity online and during events throughout the year.

  • ○ Create/Update an inventory of digital and physical archival materials and find gaps in the archive about to the organization

    ○ Write procedures for the AJAAS Archive

    ○ Example: The naming of files, instructions for transferring archival materials to AJAAS archive

    ○ Plan a yearly intake of materials (conference, meeting minutes, etc)

    ○ Plan/make connections with institutions that will receive archival collection 

    ○ Organize archival materials 

    ○ Outreach to the community about the AJAAS archive and preserving their own archive

  • ○ Oversee grant making and funding opportunities for AJAAS and its conference.

    ○ Create and maintain a directory of grant and funding opportunities. 

    ○ Identify and partner with funders and other financial partners.

    ○ Establish and coordinate a grant writing committee. 

    ○ Work in consultation with co-chairs to prepare and submit grant proposals.

  • ○ Intentionally works to create safe and supportive spaces for our community members to engage in healing practices, self-care, and collective wellness initiatives. This position will be instrumental in ensuring that our conferences, programs, and organizational activities prioritize our holistic well-being. 

    ○ Design and facilitate healing workshops, circles, and activities between biennial conferences and other organizational events.

    ○ Collaborate with the national board, conference organizers, and program coordinators to integrate healing practices into organizational initiatives and programming.

    ○ Develop and maintain partnerships with mental health professionals, wellness practitioners, and community organizations to enhance resources and support available to our community.

    ○ Offer guidance and resources for self-care practices, stress management techniques, and mental health awareness within the organization. Stay informed about practices in healing modalities, mental health, and community wellness to inform program development and implementation.

    ○ Conduct outreach and engagement efforts to ensure inclusivity and accessibility of healing services for diverse community members

  • ○ Bring to conclusion projects started but not completed during term of office

    ○ Assist with transition of officers (information, resources)

    ○ Serve on, and initially convene, the Nominations Committee

    ○ Conduct special projects

    ○ Together with the Conference Liaison, be available to the conference Site Committee, as needed

    ○ In the absence of Chair and Chair-Elect, the ex-officio will facilitate meetings.
